The Administrative Assistant, Business Development will play a key role in driving company growth by cold calling curated prospect lists, prequalifying leads, and supporting the Strategic Solutions team with targeted sales strategies in the interpretation and translation sector.

Core Administrative Support

  • Collect and organize cost codes, purchase orders (POs), and related billing documentation.
  • Schedule quarterly meetings with existing accounts and coordinate logistics.
  • Prepare meeting agendas, reports, and presentation materials in advance.
  • Take meeting notes and manage task follow-up and delegation.
  • Update and maintain shared slides and materials for staff or team meetings.

Sales Operations & Coordination

  • Submit account setup forms, PSAs, and rate sheet requests on behalf of sales.
  • Support the traveling sales team with scheduling, logistics, and coordination.
  • Serve as point of contact for Operations when escalating items to the sales team.
  • Assist in setting up new clients for RIS, VRI, and Client Portal access.
  • Maintain and organize account folders and shared drives (proposals, PSAs, rate sheets, etc.).

CRM & Data Management

  • Keep CRM data accurate and up to date — contact details, notes, and meeting outcomes.
  • Log meeting notes and next steps following client and internal discussions.
  • Compile weekly, monthly, and quarterly reports for proactive outreach tracking.
  • Track project or client timelines and alert sales members of upcoming deadlines or renewals.

Marketing & Communication Support

  • Coordinate marketing needs for campaigns, lists, emails, and events.
  • Personalize and format client presentations and proposals.
  • Support cross-department communication by formatting updates, announcements, or summaries prepared by Sales.
  • Ensure consistent branding and formatting across all outgoing materials.

Follow-Up & Continuous Support

  • Coordinate follow-up tasks after meetings or events to ensure timely completion.
  • Manage action items assigned to team members and provide progress updates.
  • Monitor shared inboxes or incoming requests and route them to the appropriate sales or operations contact.

Additional Administrative Duties

  • Maintain updated contact and resource lists for internal use (vendors, clients, interpreters, etc.).
  • Assist in onboarding documentation and compliance form submissions when needed.
  • Help prepare or organize content for quarterly staff meetings or leadership updates.

Required Qualifications/Skills:

  • Comfortable preparing presentations, proposals, and basic marketing materials.
  • Strong organization, attention to detail, and task management.
  • Excellent written and verbal communication skills.
  • Ability to document meetings, maintain accurate CRM data, and track follow-ups.
  • Strong problem-solving skills with the ability to escalate appropriately.
  • Proactive, reliable, and comfortable working both independently and cross-functionally.

Education/Experience:

  • 2–4 years of administrative or sales support experience.
  • CRM experience (Salesforce, HubSpot, or similar).
  • Experience coordinating meetings, logistics, or client tasks.
  • Proficiency in Microsoft Office

The Interpreter: ASL provides American Sign Language (ASL) interpretation, transliteration and sight translation communication access either consecutively or simultaneously to appointed Deaf or Hard of Hearing and associated clientele.

General duties include without limitation:

  • Adhere to NAD/RID Code of Professional Conduct
  • Adhere to and follow all MasterWord ISO required processes in reporting, escalation and documentation.
  • Adhere to the MasterWord Communication Plan for all internal and external communications.
  • Attend scheduled division specific events when applicable.
  • Includes but not limited to: provide effective communication interpretation services to members of the Deaf and Hard of Hearing community both in-person and remotely in diverse industry settings
  • Support the Deaf and Hard of Hearing Department with internal interpretation needs for Deaf/HH staff, operational needs, and other duties for the division as assigned.
  • Provide observational feedback on operational or service adjustments that may be needed such as the recommendation for a Certified or Qualified Deaf Interpreter
  • Demonstrate MasterWord’s core values at all times in conjunction with any MasterWord performed duty or responsibility.
  • Other duties may be assigned.
  • Must be RID or BEI certified.
  • 3 years of professional interpreting experience preferred, or an equivalent combination of education and experience.
  • Deep understanding of Deaf culture and the ASL interpreting field.
